2011 was a very busy year here at Documotive! There’s been so much going on we’ve simply not had chance to update you on what we’ve been doing!
Time flies when you’re having fun and even though we take our business very seriously, we still make sure that we follow our two key principles #1 Do a good job for our customers #2 Enjoy what we do! We know that’s what makes us different and sets us apart from other suppliers in the sector.
In fact, our joint love of IT and Social Housing has made us think about our marketing message and after IT in Housing at Olympia we decided to embrace our new strapline (see image above) and use it throughout our branding. We hope you like it!!
So without further a do – here’s the highlights from 2011 and also an update on what we’re planning on doing in 2012…
Financial Results
Sorry… we know that this stuff can be a bit boring for some people but it’s important that you know that we are financially stable, profitable and growing. We actually finished ahead of our target for 2010/11 with sales reported at £2.03 million. We’d like to say a great big THANK YOU! To all of our customers who have continued to choose Documotive as the leading EDRM solution for Social Housing. There’s no time for giving ourselves a pat on our back as we’re already busy with new products and new software releases. Our full accounts will be published at Companies House in the next few weeks for those of you that would like to see them. We will continue with our business plan of continued investment and improvement in the business so that we can employ the best people and deliver the very best software solutions for our clients.
In 2011 we welcomed 14 new customers on board, HOORAY!
Documotive attended no less than 10 exhibitions and held 6 customer roadshows across the UK during 2011. Our sales and marketing team really pushed the boat out, thinking outside the box to deliver outstanding exhibition stands every time, reaffirming why we are Number One for Document and Process Management Solutions in the Social Housing Sector.

Neath Port Talbot Homes who manage over 9,000 homes in The Upper Swansea Valley, Amman Valley, Vale of Neath, Dulais Valley and The Afan Valley has selected Documotive as its EDRM partner. NPT Homes is a new, not-for-profit organisation based on the community housing mutual model. NPT has been set up specifically to take ownership and management of Council housing in Neath Port Talbot and over the next six years will invest £220 million to bring properties up to the Welsh Housing Quality Standard. As part of NPT’s strategy of ensuring that the organisation operates efficiency and provides the highest possible levels of customer service it has selected Documotive as its enterprise wide Document & Process Management system. Documotive will manage the conversion of legacy documents including Housing & Tenancy files and provide integration to Aareon’s QL Housing Management system ensuring that all staff have instant access to information.

Together Housing Group has selected Documotive as its EDRM partner. Together Housing Group who manages 35,000 homes across the North of England, and employs 1,250 people. Documotive’s EDRM system and Enterprise workflow engine will be rolled out across the organisation. The solution will be fully integrated with Aareon’s QL Housing Management System and 1st Touch Mobile. The group is expecting to see significant savings in Printing, Photocopying and significant improvements in accessing information along with significant reductions in storage space currently required for paper documents.

Documotive has relocated from its Birmingham City Centre location to new larger premises in Sutton Coldfield. The move is to provide improved facilities for its expanding team. Jonathan Holyhead, Managing Director explains; “We rapidly outgrew our existing premises in central Birmingham which was approx. 2,500 sqft. We now have 31 staff and over 50 Housing Associations that use our EDRM and Workflow systems. The net result was that we needed to look for new larger premises to accommodate our growing team and to provide improved facilities. The search was exhausted in the City Centre and so we widened our search to the surrounding areas and Sutton Coldfield proved to be an excellent location given the good transport links from the City Centre and the motorway networks. Our new premises provide over 6000sqft of space, which is split into scanning production area and office accommodation. We worked with our landlord to design the layout of the building to provide ideal facilities for our staff. The new offices have proved a great success with staff and customers alike and provide much improved facilities. The team at Documotive did a 1st class job with the move proving to be a seamless transition.

We did it! Documotive proudly accepted the ‘Best Stand Award’ at the recent NHF ‘IT in Housing’ exhibition at Olympia, London.
Our vision for the imaginative stand design was inspired by our passion for delivering solutions to help our customers underpin a ‘better way of working and a happier place to be’. We wanted to create a utopian world where order rules over chaos. The Documotive ‘One Stop Shop’ also features in the stand design – our ‘case study’ LCD television forming the shop window.
Documotive staff wore t-shirts printed with the phrase ‘I (heart) IT in housing’ – a skit on the popular I (heart NY) t-shirts, helium filled green heart shaped balloons and green chocolate hearts provided the finishing touch.
We’d like to say a massive thank you to everyone who visited our stand and those who helped make it possible. Special thanks go to Chris Brazil from Ideal Displays who as always worked tirelessly to deliver our vision and did a 1st class job.
And finally, thank you to Foremark and the National Housing Federation for our award. It was very much appreciated as recognition of our hard work and we are very proud of it. (can you tell?!)

Our complimentary invitation to ‘Unwind and Dine’ ticked all the right boxes with our customers at the end of day one at IT in Housing this year. Delegates were invited to come on a journey with us to take in the sights of London and boarded a City bound Golden Tours Coach complete with insightful and very entertaining commentary from our wonderful guide Tony Randall, Blue Badge Tour Guide. Out tour stopped off for us to have dinner at ‘Vapiano’ before making our way back to Olympia. I think it’s fair to say that we all thoroughly enjoyed the opportunity to catch up with our customers and friends and the evening provided much welcomed time for our customers to catch up with each other.

James Hogan of Documotive is taking part in a Charity Bike Ride in aid of BLESMA (British Limbless Ex-Service Men's Association) The ride is starting at Central Peer in Blackpool will take a route down the coast to Wales and will continue into Gloucester and towards Oxford where the riders will be welcomed by the RAF at their base in Brize Norton.
BLESMA aids service men and women that have lost a limb, function of a limb, eye loss or loss of vision in the line of duty. The charity bike ride is being done to support a wider group of people who are doing a range of other activities.
The course is approx. 600 miles! and will cover a full week. From left to right James Hogan, Craig Moulton, Chris Beardmore and Phil Winwood are all taking part.

Documotive is pleased to announce its 2 year Knowledge Transfer Partnership Programme with Birmingham City University.
The partnership with the Division of Housing and Communities, supported by the Faculty of Technology, Engineering and Environment (TEE) has been created to develop a truly ‘fit for purpose’ customer management system for the Social Housing Sector.
Jonathan Holyhead of Documotive explains: “Documotive already provides a wide range of Document and Process management solutions that are designed to drive efficiencies and improve customer service by streamlining internal processes. The development of a customer management system is the next logical step in the company’s development to pull together all of the customer information and to drive ‘Customer Excellence’ we have a hugely knowledgeable team that bring a vast amount of experience to the partnership.”
Veronica Coatham, Head of Housing & Community Studies at Birmingham City University commented: “This is a very exciting and innovative project bringing together a range of academics from the University with housing sector, customer insight, marketing and software development skills and experiences. We are very pleased to be working in partnership with Documotive given their rapidly developing business profile and ambitions to develop a new customer management system specifically for the social housing sector.”.
Documotive recognised some years ago that no one was delivering ‘fit for purpose’ Document and Process management solutions to the Social Housing sector and so our quest began to put that right. Today there are over 40 Housing organisations across the UK enjoying the benefits of our systems.
Suzanne Lazarus, Senior Lecturer at Birmingham City University commented: “Customer insight underpins excellence in customer service and a comprehensive knowledge of customer profiles, behaviours, attitudes and aspirations can vastly improve not only service provision but the essential core relationship the customer has with the organisation, therefore directly affecting their levels of satisfaction. Jonathan continues: “Our objective is to continue to further develop our range of solutions in parallel with the development of our new customer management system so we can deliver Customer Excellence by utilising the very latest technology to drive customer choice and excellent service. Today people expect good customer service, choice, quality and value for money – These will be the core values at the heart of our development program. We have a number of excellent customer partners involved in steering the functionality and development of the system and, together with the support and backing of the University we will deliver a system that will set the standard for customer care and service.”

Two Rivers Housing, who manage around 3,600 affordable homes in Gloucester and Herefordshire has selected Documotive to provide an integrated Document and Process management solution for the whole organisation.
James Osborne, IT Manager explained:
“After a review of the market Two Rivers Housing has selected Documotive to deliver a fully integrated solution. Our project group decided to choose Documotive because of the product features, their understanding of our business requirements and an excellent track record in our sector. Documotive, already partner with two of our existing suppliers, and can easily integrate with other systems we have in place and will provide an intuitive solution for our users. It was important for us that our chosen system could capture outgoing printed letters, manage important records and electronic documents as well as hold scanned images. Documotive can do all of this.”
The solution is due to be implemented within our finance department initially to manage automated purchase invoice approval before being rolled out across housing management, asset management and other areas of the business.
James continued:
“We recognised as an organisation we could drive efficiencies and deliver improved customer service by better control and management of our paperwork. We can reduce physical storage requirements and improve our business continuity capability. We can improve processes and automation when paper images are captured and those processes no longer rely on physical pieces of paper.
As a social landlord it is important that we lead by example, by removing the volume of paper throughout our office we are also demonstrating our commitment to becoming a greener business. Our environmental action staff group have already implemented many new initiatives, such as eco-friendly hand-dryers and our work with Documotive will be of great help with this goal.
We believe the system will help our mobile and remote workers by making documents available to them in the location they are working, not just in the office. The system will help reduce re-printing and copying paperwork as records are available simultaneously anywhere.”

Freebridge Community Housing who manages almost 7,000 homes in the Borough of Kings Lynne and West Norfolk has chosen Documotive to supply an integrated Document and Process management solution for the whole organisation.
Dave Clements, Assistant Director of ICT & Facilities for Freebridge explains “Freebridge identified the need to improve the efficiency of the delivery of information to the customer services team by providing easier and quicker access to a customer’s documents. Not only will documents be immediately available to user when they need them they will also be available to multiple users at the same time thus reducing the need for duplication” The new system will dramatically improve the way in which information is captured and managed and will significantly reduce the amount of paper that is produced across the organisation. Clements continues “Documotive’s EDM will Dramatically reduce the amount of paper held within the organisation and will free up valuable office space by reducing the number of filing cabinets and storage units in offices – Already we have identified 16 cabinets that will no longer be needed”
Freebridge is starting the project in Finance and is deploying Documotive’s e.Procurement and Invoice approval system that will significantly streamline and improve the process of purchasing goods and approving invoices. Clements explains “The new ‘POP’ and ‘PIP’ system will introduce robust controls and provide visibility whilst enhancing the working capabilities of our team. In addition we have identified where we can cut paper our of the purchasing process which again will contribute to a more efficient and greener working practice”
After reviewing the market we decided to choose Documotive because of their experience in the sector, their broad range of solutions and the ease of use of the system for our staff. The solutions are scalable and flexible so they can be deployed across a multitude of processes and areas of the organisation”

July saw four members of the Documotive team join Great Places Housing Group www.greatplaces.org.uk on a charity bike ride from Manchester to Blackpool.

After an initially ‘pleasant’ ride the final stage turned out to be somewhat challenging with horizontal rain and wind making the last leg 'interesting'

Ronnie was equipped with his Jedi Force, Protein Powder, Energy Tablets, Flapjacks, Water and much a needed ride home at the end of the day. We certainly couldn’t have done it without you!

Documotive has been selected to deliver a document management system and legacy-scanning services for Town and Country Housing Group.
Tunbridge Wells based Town and Country Housing Group, who provide over 8000 homes in Kent, Sussex, Surrey and South London, has chosen Documotive to provide a fully integrated document management system for managing their housing and tenancy files.
Tom Odoki-Olam, Head of ICT said “We chose Documotive because they understood what we wanted to achieve and provided a solution that met our requirements. They are proven to have a good track record working with Social Housing organisations and demonstrated a considerable amount of knowledge and experience in delivering document and process management solutions to organisations like ours. Their extensive product range suits us and provides the ability to further extend the range of solutions in the future across other areas of the organisation.
In addition to implementing the Document Management System Documotive will undertake the legacy-scanning for our 8000 property files. The new system is anticipated to go live in August 2010. Once implemented, the system will enable Town and country’s housing team to retrieve documents quickly and effortlessly directly from the housing system. In addition the system will allow staff to categorise and store incoming live documents quickly & easily.

June 2010 saw the launch of the Cycle to Work scheme to all employees providing them the chance to 'get on their bikes' and use alternative transport for their journeys to and from work.
The government initiative allows all employees to purchase a bike through Documotive and claim tax relief on the purchase. (See link at the foot of this article)
This means that the cost of the bike and accessories is subsidised by the government with employees paying for their bike over a 12month period from their gross salary.
It’s a great chance to get some exercise and see life from a different perspective whilst enjoying your journey rather than just concentrating on getting there.
The scheme was brought to the attention of the company by James Hogan who recently participated in the Manchester to Blackpool charity bike ride... on his new bike.

Accord Housing Group has selected Documotive to supply a fully integrated Purchase Invoice Management solution to work with their OPENAccounts Finance system.
The Accord Housing Group is one of the largest housing organisations in the Midlands with an annual turnover of £60m and employs 1,350 people. The Group provides some 11,000 homes and a range of services, including Care & Support, to 40,000 people across the Midlands and beyond.
Accord Group is constantly looking for ways to improve back office processes and drive efficiencies through innovative solutions to provide an improved service to its customers.
During a review of internal processes and systems it was recognised that significant benefits could be achieved by improving the way Purchase Invoices were managed.
Debbie Miller, Finance Manager explained “We receive somewhere in the region of 40,000 purchase invoices per annum across the group and have 40 approvers based at various locations in the midlands. There are 6 full time staff that register invoices and then have the task of getting invoices approved”
The new system from Documotive will capture the invoices upon receipt to recognise the supplier before automatically sending them down the appropriate approval route electronically. The new system is fully integrated to the groups finance system, OPENAccounts and is web based meaning that users can access and approve invoices wherever they are.
Debbie continued “Like many organisations we had the associated issues of managing a paper based approval process which is both time consuming and takes a lot of office space. The new system will capture and store all of the invoices electronically and will automatically notify users when they have invoices that require approval and will send reminders and manage escalation for us so we will no longer have to administrate the process manually”
The system will significantly streamline the whole process whilst providing full control and visibility and drive efficiencies for the group.
